Senior Manager, Facilities

About the Role

The Senior Manager, Facilities will report to the Executive Director-Global Head of Security, Real Estate & Facilities. This role involves leading day-to-day facilities operations, quality oversight, and planning of hard and soft services for the Alexion Boston Seaport Headquarters and Cambridge Research and Development sites. The individual will act as an ambassador to the business units housed at each site and serve as the primary contact for all facilities-related issues.

They will collaborate closely with internal and external resources to ensure exemplary customer service for all employees. They will also build and grow partnerships with all facilities vendors and our Integrated Facilities Management (IFM) partner. The ideal candidate is a standout colleague with a customer service focus and has over five years of facilities management experience, including R&D facilities services in a corporate environment. This role is responsible for running services and processes that support the core business of the organization, ensuring a suitable working environment for employees and their activities.

Accountabilities

  • Be responsible for building operations requests and programs, providing direction and support to our IFM partner, vendors, technicians, and mechanics.

  • Assist in building annual budgets with a focus on continuous improvement and developing long-term plans to scale operations as business needs/requirements evolve.

  • Play a key role in improving our management program to hold our IFM partner and vendors accountable to defined service levels, including participation in scheduled KPI/OPI reviews.

  • Proactively lead service levels to ensure staff and contractor work is completed satisfactorily.

  • Handle the feedback process for all partners and external service providers to provide timely status updates and improve workflow efficiency.

  • Partner with our IFM partner on work orders, ensuring proper workflow and timely issue resolution.

  • Serve as the primary point of contact for contracted facilities services vendors on all building services issues.

  • Maintain desired internal financial benchmarks for assigned facilities.

  • Lead and oversee all capital projects at assigned sites.

  • Develop and maintain strong relationships with building property management, other tenants, and shared service providers.

  • Supervise day-to-day coordination and planning of essential site services such as on-site FM support services (tenant services, maintenance, mailroom, cleaning, catering, waste disposal, etc.).

  • Ensure a safe and compliant workplace in partnership with the Safety Health and Environment team.

  • Ensure current safety policies and procedures are followed and remain in compliance with local, state, and federal regulations.

  • Analyze metrics and FM reports to identify service issues and savings opportunities, driving consistency and continuous improvement in the FM program.

  • Develop and implement FM guidelines, standards, policies, and vendor management programs.

  • Assist in the onsite management of the Alexion seat booking/reservation tool.

  • Oversee planning, allocation, and utilization of space and resources, assisting with building space allocation, layout, and communications.

  • Develop and maintain positive relationships with employees and leaders across the enterprise, as well as with vendors and contractors. 

  • Establish and nurture highly effective relationships with all stakeholders to support and advance business goals and objectives. 

  • Establish credibility quickly through an understanding of business issues and requirements while providing sound direction and support. 

  • Work collaboratively and seamlessly with FM providers and internal Operations, Administrative, and Finance teams to develop and deliver site operational deliverables. 

Essential Skills/Experience

  • Bachelor’s degree in Facilities Planning/Management, Engineering, Construction Management, or a related field, or an equivalent combination of 5+ years of education and experience.

  • 5+ years of experience in facility management activities and managing IFM partners, vendors, engineers, contractors, and consultants.

  • Available 24/7/365 with the ability to respond to site issues as they arise.

  • Excellent customer service, negotiation, facilitation, and consensus-building skills.

Desirable Skills/Experience

  • Contract management experience, including developing RFP requirements, formulating implementation plans, project execution and fiscal management.

  • Proven capability to develop corporate and department-level standards, policies, and procedures.

  • R&D facilities operational experience is strongly preferred.
