Operations Manager, Publications Data & Systems
Location: Warsaw, Poland
Hybrid model of work: 3 days in office, 2 remote per week

Based within AstraZeneca’s BioPharmaceuticals R&D division, the Publications Operations team is responsible for the management of the enterprise-wide Publications Management System (iEnvision), overseeing data management and reporting, delivering training to ensure procedural compliance, and coordinating the review and approval of scientific publications prior to external dissemination.
The Operations Manager, Data & Systems will partner closely with the Product Owner to ensure the iEnvision Publications Management System is well specified, well documented, and continuously improved. The Operations Manager will support the Product Owner in translating business needs into clear user stories and acceptance criteria, maintaining up-to-date workflow documentation, planning and validating configuration cycles and new releases, coordinate and execute user acceptance testing (UAT) and triage and analyse support tickets. This role is central to aligning cross-functional stakeholders and delivering high-quality enhancements that meet operational needs.
Key Responsibilities
- Support Ticket Triage: Monitor and triage tickets; perform initial analysis and reproduction steps; route issues to appropriate teams (e.g. vendor, system administration); analyse logs; classify priority; track SLAs and drive issues to resolution with clear communications and root-cause summaries.
- Stakeholder Engagement: Build trust-based relationships across business, vendor teams, and end-user communities; facilitate workshops; capture decisions, risks, and dependencies; prepare materials for governance forums and provide training and release notes for end users.
- Data Quality & Compliance: Monitor quality checks and validation rules; ensure changes align with compliance, audit, and privacy requirements relevant to publications management; reference data to ensure records are accurate, standardized, and AI-ready.
- UAT Planning & Execution: Support UAT strategy; create test plans, scenarios, and scripts linked to user stories; coordinate stakeholder testers; execute tests; capture defects; and validate fixes prior to release sign-off.
- Backlog & User Story Management: Support the Product Owner in eliciting requirements, writing and refining user stories with clear acceptance criteria, defining non-functional requirements, and maintaining a prioritised backlog.
- Process & Workflow Documentation: Support the Product Owner to map and maintain end-to-end business and technical workflows; maintain disciplined version control, change logs, decision logs, and traceability across artifacts; keep documentation audit-ready and current with each release.
- End User Communication& Training: Collaborate with the Product Owner to deliver standardised release communications with traceability to user stories and tickets; co-develop and deliver role-based training plans aligned to release timelines; establish feedback loops (surveys, ticket analysis) to measure adoption and iterate materials based on KPIs such as training completion and post-release helpdesk contact rate.
- Metrics & Continuous Improvement: Support the Product Owner in monitoring KPIs and producing reports; use insights to drive backlog prioritization and continuous improvement.
Minimum Requirements
- Experience: 3–5+ years’ experience as a Business Analyst or Product Analyst supporting enterprise SaaS or workflow systems; experience with publications management, medical affairs, or life sciences platforms is preferred.
- Methodologies: Demonstrated experience translating business needs into testable requirements and non-functional criteria; prioritizing work; and coordinating stakeholders to review progress and outcomes.
- UAT & QA: Proven ability to lead UAT, manage defects, and align testing to requirements and risk; develop traceable test plans/scripts; coordinate stakeholder testers; validate fixes with clear acceptance criteria and documented outcomes.
- Ticket Management & ITSM: Experience triaging and resolving application issues using structured analysis; reproduce defects; perform root-cause analysis; coordinate with vendors/system administrators; maintain SLA adherence and transparent communications aligned to ITSM practices.
- Communication & Collaboration: Excellent written and verbal communication skills; demonstrated ability to tailor complex technical concepts to non-technical audiences, facilitate meetings/workshops, and produce clear, actionable documentation (release notes, training materials, stakeholder updates).
- Cross-Departmental Collaboration: Drive cross-functional stakeholder management by building trust-based relationships across business, vendor teams, and end-user communities, with clear, timely, audience-appropriate communication that translates technical changes into impacts and actions for non-technical stakeholders.
- Basic System Administration: Perform administration within access control: maintaining routing rules and system messages, administering users and roles, and configuring notifications to ensure correct workflows and timely communications.
- Tools: Experience with backlog and ticketing tools (e.g. Jira, ServiceNow) and documentation tools (e.g. Confluence, Visio, Miro).
- Change Agility: Demonstrates strong soft skills, including the ability to operate effectively in a fast-paced environment, adapt to changing priorities, manage multiple stakeholders with competing needs, and embrace change with resilience and a proactive, solution-oriented mindset.
Desirable Requirements
- Understanding of the publication lifecycle.
- Experience working with iEnvision or similar SaaS platforms, including coordination with vendors for configuration and releases
- Reporting/BI skills (e.g., Power BI/Tableau), data validation, and basic SQL for investigations.
