Admin Executive
Finance & PRPO/P2P:
- Ensure timely creation of PRs, PO approvals, Goods Receipt (GR), and invoice processing
- Manage higher-value PO approvals and ensure compliance with procurement processes, including end-to-end efficiency in Procure-to-Pay (P2P) invoice processing
- Ensure effective PR gatekeeping by achieving a high first‑time approval rate through complete and compliant submissions, including required supporting documents, adherence to SOPs and competitive bidding thresholds
- Monitor and ensure departments spend is within the planned annual budget
Agreements & Documents:
- Support departments to ensure documentation requirements are met in accordance with AZ’s Quality Management System
- Manage the drafting of Agreements and supporting documents and routing for approval via Adobe Sign
- Prepares documents, presentation materials and official information to be released and distributed to required stakeholders
- Accurately transcribes, types, formats, and proofreads a wide variety of material (for example correspondence, invoices, contracts, meeting minutes, reports, speeches, and presentations) using word processing, presentation, graphics and spreadsheet software.
- Uses desk top publishing software to design more complex documents to support the work of the department they support
Meetings & Operations:
- Responds on behalf of the department to different stakeholders/vendors, maintaining high professional standards whilst meeting conflicting needs
- Responds to more complex or escalated enquiries from other PA/secretarial staff
- Provides support to schedule appointments and answer or redirect routine enquiries from internal or external sources
- Provides specialist project based administrative support when required
- Coordinates internal and external meetings / conferences so that they run smoothly, including scheduling meeting times, making travel arrangements for attendees, and ensuring that various meeting amenities are available
- Performs other administrative tasks using independent judgement and discretion
- Plans, organises, and schedules own workload so that all activities are completed accurately and on time
Compliance & Ethics:
- Conduct activities and interaction consistent with Company values and in compliance with the Code of Conduct and supporting Policies relevant to current role
- Complete all required training on the AZ Code of Conduct and supporting Policies on time
- Report potential issues of non-compliance
- Promote culture of compliance and create healthy and safe environment
