We are currently recruiting for a Personal Assistant to provide support to the Head of GPPM Oncology and the GPPM Oncology Leadership Team. This is an exciting opportunity for you to take on a challenging, proactive, and fast-paced varied role!
Accountabilities
In this exciting role, you will have the opportunity to work closely with senior stakeholders and a dynamic team within Global Portfolio and Project Management (GPPM) Oncology. You will provide comprehensive administrative support, including organizing complex global meetings, managing diary arrangements, handling expenses, tracking budgets, and coordinating travel in accordance with AZ policy. Reporting into the Head of GPPM Oncology, you'll align with the priorities of the GPPM Oncology Leadership Team. Your responsibilities will include organizing GPPM Oncology team meetings, townhalls, and engagement events, often coordinating large groups in a hybrid format across multiple locations, managing room bookings, catering arrangements, and facilitating global conference and video calls. You will also attend key team and project meetings to assist with document preparation as needed, as well as raise purchase requisitions/orders and manage vendor creation through Coupa. You will also be working closely with the Personal Assistant of the SVP of GPPM and Business Development, and Personal Assistants of the GPPM Leadership Team and the Oncology R&D and Business Units, contributing to team success through shared tasks. As part of a collaborative administrative support team, you'll share best practices, provide support, and resolve issues. You'll prioritize workloads to meet personal and unit targets, all while learning from experienced professionals and growing in your role.
Other Responsibilities:
Provide project support (non drug-project initiatives) when required.
Support the GPPM Oncology Leadership team members and their teams with priorities.
Perform other administrative tasks using independent judgment and discretion.
Essential Skills/Experience:
Prior PA/administrative experience at the VP level or similar.
Excellent teamwork, networking, and influencing skills.
Outstanding written and verbal communication skills.
Proven experience working with large groups of senior leaders.
Proficiency and confidence in using a wide range of technology and IT software.
High resilience and the ability to work effectively under pressure.
Ability to prioritize multiple demands in a fast-paced environment.
Ability to think beyond the immediate scope of your role, challenge the status quo, and explore opportunities for continuous improvement.
Strong problem-solving skills, a proactive, can-do attitude, coupled with a high level of common sense and initiative.
Desirable Skills/Experience:
Experience of working in Pharma or healthcare
