Corporate Governance Administrator

Hybrid Work- on average 3 days/week from our Mississauga or Downtown office

We collaborate closely with the Legal function and colleagues worldwide, supporting AstraZeneca PLC’s Board, Board Committees, and Senior Executive Team. Our team manages stock exchange listings, corporate disclosures, financings, annual reports, and corporate transactions. We value flexibility, learning, and embracing new challenges. Typical Accountabilities:

As a Corporate Governance Administrator, you will report to the Company Secretary and work closely with Deputy Company Secretaries and the Executive Assistant to the Company Secretary. Your responsibilities will include:

  • Lading the administration of the group entity management database and supporting production of the group structure chart.

  • Supervising the team’s knowledge management database, initially focused on simplifying and upgrading the database followed by ongoing management and maintenance.

  • Leading the team’s financial management activities:

  • Responsible for the annual budgeting processes, proactively identifying areas for attention and opportunities to make the best use of our resources.

  • Monitoring financial activities compared to budget, proactively identifying areas where adjustments may be needed in-year or for future years.

  • Administration of expenditure including preparing purchase orders using AstraZeneca systems and liaising with suppliers and contacts.

  • Providing administrative support for wider B&CS team activities.

  • Deputising for the EA to the Company Secretary and the B&CS Executive Support Assistant as appropriate.

Essential for the role:

  • 3+ years of experience providing proactive administrative support as part of a wider team

  • Ability to continuously manage and prioritize multiple conflicting demands and demonstrable experience of managing expectations.

  • Excellent judgement and ability to use initiative, including knowing when to act independently and when to seek guidance and support.

  • Effective stakeholder management skills.

  • Discreet, adaptable, flexible and a team player.

  • General knowledge and understanding of company policies and procedures and the importance and impact of compliance.

  • Comfortable using a variety of applications and systems, and adapting to use new ones.

  • Working with GEMS or similar corporate entity management systems.

  • Excellent written and verbal communication skills and attention to detail.

  • Proficiency in IT applications like MS Outlook, MS Office, Adobe PDF, Concur, PowerPoint, Coupa, Zoom, and web-based systems.

  • Willingness to use AI tools like Microsoft Copilot for writing and editing tasks.

Desirable for the role:

  • Experience in a complex global organization.

  • Working in a corporate governance environment.

  • Handling highly confidential information.

  • Working with CounselLink or similar law firm billing management systems.

  • Familiarity with board portal software like Nasdaq Boardvantage.
