Are you ready to take on a pivotal role supporting the Vice President of Corporate Affairs for International, Europe, and Canada at AstraZeneca? As a Personal Assistant, you will be at the heart of our operations, managing diaries, coordinating travel, and ensuring seamless communication across our dynamic team. Collaborate with diverse colleagues at all levels, contribute to team success, nurture team culture.
Accountabilities
In this role, you will be responsible for:
Proactive and extensive diary management in Outlook for the VP, working with complex diaries across various time zones.
Prioritising internal/external meetings, including room bookings and coordinating international conference calls across time zones.
Managing complex and frequently changing global travel across several time zones, including visa requirements, accommodation, and processing related expense reports.
Collating and processing expense claims in Concur within set group timelines and ensuring compliance with the expense policy.
Team budget and procurement administration, including PR/POs in Coupa, monitoring expenditures, and maintaining financial records.
Managing team communications and file sharing channels, including Microsoft Teams, SharePoint, and Outlook Distribution Lists.
Crafting and editing presentations/reports, compiling concise meeting briefings, and taking meeting notes if required.
Supporting internal and external events.
Facilitating the onboarding of new team members.
Working with the broader GCA PA network to harmonise processes and provide support where necessary across the organisation.
Essential Skills/Experience
Proven experience as PA to senior leaders in a large, complex, international organization
Excellent secretarial skills and the ability to exercise sound judgment whilst proactively, efficiently and accurately managing a demanding workload
Exceptional planning and organizing skills, with a strong sense of urgency balanced by a good judgement of priorities
Ability to handle sensitive information in a confidential manner
Collaborative team player, with excellent interpersonal and communication skills
Confident communicating at all levels and across various cultures internally and externally whilst exercising discretion, tact and diplomacy
The ability to identify and leverage appropriate (IT) systems and procedures to achieve results
An understanding of how your team relates to others within the organization, and how to work effectively to achieve business objectives
Have high levels of resilience and be self-motivated
Flexible, proactive and open to accommodate all duties, and exceed expectations
Fluency in English
Bachelor's degree or equivalent
