PA / Administrator – 10 Month Secondment / FTC

Are you ready for an exciting challenge? We have a 10-month opportunity for a Personal Assistant/Administrator to join Precision Medicine and Biosamples (PMB). This role offers a chance to engage in varied tasks within our dynamic team. Reporting to PMB’s Administration Team Lead, you'll provide high-quality support to up to two members of the PMB Leadership team and handle general administrative duties for their global departments and the wider PMB function. We're seeking an enthusiastic, driven, and flexible individual who thrives in a fast-paced, complex, global environment and has experience supporting senior-level executives.

ACCOUNTABILITIES

-  Proactive calendar management, identifying and resolving conflicts

-  Coordination of complex travel including VISA arrangements when required

-  Timely completion and submission of expenses in line with company policy

-  Management of internal and external meetings across multiple time zones (face-to-face, hybrid & virtual)

-  Attending and supporting key team/project meetings (agenda planning, documentation preparation, minute taking & action tracking)

-  Working alongside talent acquisition and HR to coordinate the recruitment cycle

-  Contributing to the management of the PMB central mailbox

-  Proactive resolution of issues and challenges relating to administrative requests

-  Working collaboratively to deliver local and global initiatives that create engagement & well-being

-  Becoming an expert user in key business systems and processes

-  Providing support to internal and external site visitors

-  Working collaboratively with global peers to deliver a consistent and professional global support service, including knowledge sharing and training within the PMB office management team

-  Independent planning/organization of own workload, ensuring all activities are completed accurately and on time while using and developing standard processes

ESSENTIAL SKILLS/EXPERIENCE

-  Previous Personal Assistant experience

-  Proficient user of Microsoft programmes including MS-Teams, PowerPoint, and SharePoint

-  Experience and confidence using virtual meeting technologies

-  Ability to effectively manage a diverse and demanding workload including multiple projects/tasks simultaneously

-  Strong organizational, forward-planning, team-working skills with attention to detail

-  Strong customer service skills

-  Excellent verbal & written communication, and interpersonal skills

-  High degree of personal credibility when working with internal and external organizations

-  A strong self-starter, ability to work independently and respond to changes in customer/collaborator demands with the flexibility to adapt to changing situations

-  Good business awareness with sensitivity to confidential information

DESIRABLE SKILLS/EXPERIENCE

-  Experience of supporting a remote manager and distributed team

-  Experience of working in a global organization; with the ability to work across boundaries and different cultures

-  Experience of working in a pharma or healthcare environment
