Business Coordinator – Executive & Leadership Support
Act as a strategic enabler to senior leaders across AstraZeneca's Biopharmaceuticals Business Unit, operating within a shared, function-agnostic support model. This role moves beyond traditional administration toward prioritization judgement, stakeholder coordination, and leadership-team effectiveness — leveraging digital tools and AI-augmented ways of working to minimize tactical workload and maximize high-value contribution.
You will support connectivity across a complex global matrix, ensuring leadership time and energy are directed toward the highest-impact activities that accelerate our pipeline and deliver for patients.
Key Responsibilities
Strategic Leadership Support
- Prioritization & Scheduling — Apply sound judgement within agreed frameworks to diary architecture, meeting cadence, and agenda design, ensuring leadership time is protected for strategic priorities
- Operational Rhythm Coordination — Coordinate the operating rhythm of supported leadership teams: managing governance cadences, tracking follow-through on actions, and supporting the balance of time across strategy, performance, and culture
- Issue Identification & Escalation — Identify emerging issues, stakeholder sensitivities, and scheduling conflicts; resolve within scope or escalate with context and recommendation
- Cross-Functional Coordination — Navigate cross-team, cross-region, and cross-business-unit dynamics; support alignment by coordinating across teams and functions
Communication & Stakeholder Management
- Executive Communications — Manage sensitive and escalated communications on behalf of supported leaders; collate and organize information for leadership use
- Relationship Stewardship — Act as a professional, senior point of contact internally and externally, exercising discretion and diplomatic judgement
- Information Architecture — Own governance and architecture of collaboration platforms (Teams, SharePoint, shared drives) to enable seamless knowledge flow within and across teams.
Project Coordination & Special Initiatives
- Ad-Hoc Project Leadership — Lead or coordinate special projects on behalf of supported leaders, scoping requirements, managing timelines, and delivering outcomes (e.g., designing and scheduling AI upskilling programs for the team, coordinating cross-functional workshops, or piloting new ways of working)
- Event & Forum Strategy — Design and deliver stakeholder experiences for congresses, leadership offsites, and team forums — from concept through logistics to post-event follow-through
- Complex Travel & Contingency Planning — Lead multi-leg, multi-region travel planning with proactive contingency management for supported leaders
Operational Excellence & Finance
- Procurement & Financial Escalations — Manage exceptions, escalations, and non-standard processes in procurement and financial administration; flag budget risks to leaders
- Onboarding & Team Experience — Design personalized onboarding journeys for new joiners, structured offboarding for leavers, and curated experiences for visitors
- Continuous Improvement — Identify and implement process efficiencies; champion adoption of AI tools, automation, and digital-first practices to elevate the support function
Qualifications & Experience
Essential
- Substantial experience providing executive-level support in a complex, global, or matrixed organization — pharmaceutical or life-sciences sector strongly preferred
- Demonstrated ability to exercise sound judgement, manage competing priorities, and operate effectively with appropriate supervision at senior leadership level
- Advanced proficiency in Microsoft 365 (Outlook, Teams, SharePoint, PowerPoint, Excel); confident adopting new digital and AI-enabled productivity tools
- Exceptional written and verbal communication skills with the ability to present information clearly and concisely
- Proven track record of stakeholder coordination across multiple geographies, cultures, and levels of seniority
- High tolerance for ambiguity; comfortable operating in fast-paced, evolving environments
Desirable
- Experience working within a shared or pooled support model
- Familiarity with AI-augmented workflows (e.g., Copilot, automation tools, intelligent scheduling)
- Project coordination capability — able to support initiatives with defined timelines and outcomes
- Commercial or scientific literacy relevant to the biopharmaceutical industry
- Experience contributing to change or transformation within a support function

Ways of Working
This role operates within AstraZeneca's hybrid model — on-site a minimum of three days per week to enable the connection, pace, and visibility that executive support demands. Flexibility is balanced with the expectation of presence during high-impact leadership moments. The role sits within a function-agnostic shared model, meaning you will collaborate closely with a community of Business Coordinators to share best practice, provide resilience cover, and drive collective standards.

The annual base pay for this position ranges from $69,700.00 - $104,550.00 USD Annual. Hourly and salaried non-exempt employees will also be paid overtime pay when working qualifying overtime hours. Base pay offered may vary depending on multiple individualized factors, including market location, job-related knowledge, skills, and experience. In addition, our positions offer a short-term incentive bonus opportunity; eligibility to participate in our equity-based long-term incentive program (salaried roles), to receive a retirement contribution (hourly roles), and commission payment eligibility (sales roles). Benefits offered included a qualified retirement program [401(k) plan]; paid vacation and holidays; paid leaves; and, health benefits including medical, prescription drug, dental, and vision coverage in accordance with the terms and conditions of the applicable plans. Additional details of participation in these benefit plans will be provided if an employee receives an offer of employment.
