Introduction to role:
Responsible for supporting DM India Operations in managing a diverse range of administrative and coordination responsibilities. This role will be integral in supporting global and site leaders, enhancing operational efficiency, and ensuring the seamless execution of key initiatives. The ideal candidate is proactive, diligent, and excels at multitasking, event coordination, and managing high-level administrative tasks.
Accountabilities
- Organize visits for global and site leaders by arranging seamless logistics, crafting agendas, and ensuring all meeting requirements are met.
- Manage logistics and procurement while assisting functional teams to minimize administrative burden and ensure adherence to compliance standards.
- Be responsible for travel approvals, bookings, and expense reporting to ensure employees have compliant and efficient travel experiences.
- Collaborate with leaders to prepare presentations, allowing them to concentrate on strategic priorities.
- Coordinate distributed team activities and support promotional and branding initiatives related to these programs.
- Plan and implement quarterly townhalls, managing logistics, agendas, and follow-up actions.
- Coordinate with site facilities & global teams for internal events, meetings, and other key activities.
- Support global learning expos and corporate program rollouts, aligning local efforts with broader organizational objectives.
- Handle nominations, payments, travel, and accommodation for external conferences and seminars, ensuring smooth employee participation.
- Provide broad administrative support, streamlining calendar management, travel and expenses, and offering confidential assistance to leaders.
- Proactively resolve administrative bottlenecks, helping to maintain productivity.
- Enhance coordination of documentation and meetings for improved efficiency.
- Offer local expertise in site-specific tasks, enabling others to focus on strategic goals.
- Lead or participate in initiatives that continuously improve administrative processes and share best practices.
Essential Skills/Experience
- Bachelor’s degree in Business Administration, Communications, or related field (or equivalent proven practical experience).
- 6–9 years’ experience in an administrative or coordination role, preferably within a multinational or fast-paced environment.
- Proven track record of managing logistics, travel arrangements, and event coordination.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint) & curious to adapt to new tools.
- Good written and verbal communication skills.
- High attention to detail and the capacity to handle confidential information.
- Ability to collaborate across cross-functional teams and lead administrative projects independently.
