We are currently looking to recruit a permanent Personal Assistant, who has worked in a global organisation, to join our team in the Europe & Canada Oncology department, based at our offices in Baar, Switzerland.
What you’ll do
This is an exciting opportunity for you to take on a varied, challenging and proactive role within our team. Your primary focus will be on providing high quality and professional support to the Senior Vice-President and his leadership team.
Facilitating smooth communication between the SVP and other senior internal/external stakeholders, you will remain professional and have good business awareness with sensitivity to confidential information, a can-do attitude balanced with a good sense of humour.
Prioritisation will be the key to success in this role alongside excellent verbal, written and interpersonal skills.
Responsibilities and Accountabilities
Complete diary management
Coordinate internal and external meetings, travel arrangements and events
Communication with all different levels of stakeholders
Responding to enquiries (point of contact)
Documentation and Purchase Order creation
Effectively manage special projects and other duties as assigned
Perform other administrative tasks using independent judgement and discretion
Proficient use of various types of technology including managing Sharepoint/Teams sites effectively
Act as part of a wider administrative support team, working together to share best practices and problem solve
Working closely with comms, finance and human resources as a partner to ensure efficiency
Essential for this role
Broad administrative and personal assistant experience
Excellent working knowledge of current IT /software packages with a good aptitude to learn new tools and systems
Flexible with a 'can-do' curious attitude to continuously improve processes & ways of working
Experience of working within a complex global organization
With an eye for detail, manage multiple projects/tasks simultaneously and effectively
Good communication skills / strong EQ
Forward-looking, results-oriented, focused/proactive problem solver
Work well independently, as well as in a team setting
Ability to prioritize tasks and meet deadlines
Keen understanding of professional and diplomatic interpersonal skills
Possesses general knowledge of working globally within a variety of cultures
Intermediate knowledge of German to interact with outside providers (Hotels, Restaurants etc)
