ABOUT THE ENTERPRISE TECHNOLOGY SERVICES TEAM

The Enterprise Technology Services (ETS) team is accountable for all Infrastructure, Security, IT Operations and all End User Services and technologies. This group will ensure that our IT Services are seamless and secure, and that technology is delivered in an efficient, effective, and agile way, with a strong focus on experience.

THIS IS WHAT YOU’LL DO

The purpose of Conferencing is to ensure our workforce is as effective as possible in the use of our conferencing portfolio: reducing the need and costs associated with travel and improving productivity across global teams.  We focus on ensuring new global systems are introduced effectively, training and education is delivered to the functional areas in the right way and relevant to how people work, and that we promote our tools and services so our Workforce leverage the right capabilities available to them. It’s key we drive customer experience and drive improvements so our IT tools and services meet current and future needs of the business.

Global Conferencing is part of the IT organisation responsible for Skype for business, SMART IT, Video Conferencing and Virtual Meetings services respectively. The Virtual Meeting producer will join the global Video Conferencing and Virtual Meeting service team.

The Virtual Meeting Producer will possess advanced skills in managing live events, with significant experience in the supporting Senior Leadership and their staff to lead teams and project manage Virtual Meetings globally across AZ sites. The role will be based in key business hub locations across Europe, United States and Asia.

Candidate Focus and Challenge

Project Management

  • Own and evolve the Virtual Meeting delivery process and maintain effective implementation through each Virtual Meeting undertaken within the service

  • Creation and ownership of project documentation detailing requirements for meeting and establish clear roles and responsibility for delivery across customer and IT teams respectively

  • Leadership of wider IT teams engaged to deliver event across sites, countries and regions

  • Manage customer demand for complex and ad-hoc Virtual meetings against capacity across Virtual Meeting delivery team

Customer engagement

  • Significant experience of working with Senior Executive level leadership

  • Lead point of contact for the recommendation and planning phases of process working directly with the customer team

  • Build network of contacts across business areas to promote Virtual Meeting service and capability

  • Customer orientated, solutions based approach

  • Ensure high standard of delivery is maintained; lead by example and support all team members with their area of responsibility

  • Manage issues during live events and apply learnings from each event to avoid unexpected problems wherever possible.

Supplier management

  • Demonstrable leadership skills in working with matrix teams including key suppliers to ensure clear goals are communicated and responsibilities agreed

  • Engage directly with preferred suppliers to arrange, as required, production, connectivity and broadcastcapabilitiyfor each event

  • Manage key supplier relationships through regular service reviews and identify areas of improvement for implementation

Communications

  • Advanced communications skills– understanding customer and audience requirements for Virtual Meetings

  • Build profile of Virtual Meeting team through proactive presentation and identification of new opportunities for virtual meeting technology to support new areas of demand into our service

  • Ability to tailor technical information in a simple to understand, customer facing way

  • Develop business cases to support implementation of event standards based on previous events that demonstrate clear ROI and benefit to AZ for adopting such standards

Technical 

  • Thorough understanding of technology and capability of internal platforms with a view on emerging technologies to improve future events and integration into Virtual Meeting service

  • Able to plan, design and implement technical solutions for events in and outside of AZ sites. Demonstrate creative applications of technology to simplify delivery of events

  • Demonstrate influencing skills for implementation of new, standardised processes using previous events as examples for improving or standardising technologies. Ensure support from local IT colleagues and sites accordingly.

  • Lead and recommend process improvements using new Collaboration technologies available across AstraZeneca

  • Creation of technology standards that enable IT and business teams to manage and deliver event taking place locally at sites across AstraZeneca

  • Build expertise in video conferencing, unified communications, broadcast and production technologies

  • Lead technical teams operating equipment and platforms

  • Develop key metrics and supporting data demonstrating return on investments and total cost of ownership within service

YOU WILL NEED TO HAVE

Knowledge, Skills and Experience

Essential

  • Significant experience in delivery focused role(s) within a matrix organisation

  • Strong experience of  developing and managing relationships with both customers and suppliers

  • Strong communication, facilitation and relationship building skills plus influencing and negotiating skills

  • Very strong senior leadership communication skills and clear expectation management

  • Proven escalation management capability

  • Ability to work well in diverse, multinational teams and proven ability to influence others to achieve positive outcomes

Desirable

  • IT background is beneficial but not crucial

  • Live event, broadcasting or production experience also of benefit

  • Working knowledge of AZ locations, business areas and ways of working

  • Fully operational and experience across all aspects of the ITIL service management disciplines and lifecycle within their domain of expertise

The Virtual Meeting Producer plays a crucial role in the success of Virtual Meetings by leading all aspects of the delivery of an meeting and managing the customer team so that they have a positive perception of our service. This is a senior position within our team.

The ideal candidate would be highly motivated, detail oriented and self-starting to ensure all aspects of a meeting is considered and scenarios planned accordingly should problems occur.
